How we process personal data of visitors and people who submit a request.

This notice is provided by AIVESP S.R.L. a socio unico (“Olivia”, “Controller” or “we”) pursuant to Articles 13 and 14 of Regulation (EU) 2016/679 (“GDPR”) to anyone interacting with the website olivia-software.com (the “Site”).
This notice applies only to the Site and not to other websites that may be reached through links.
1. Data controller and contacts
The data controller is AIVESP S.R.L. a socio unico, VAT/Tax code 02919450425, with registered office at Piazza del Plebiscito 55 - 60121 - Ancona (AN).

No Data Protection Officer (DPO) has been appointed at this time.
2. Categories of data collected
Data collected automatically while browsing: IP address, browser type, device parameters, date and time of visit, referring and exit pages, and aggregated Site usage data. This information may be processed through the hosting provider’s logs and, subject to consent, through analytics tools.
Data provided voluntarily through Site forms (demo and partnership requests): first name, last name, email address, phone number, company or restaurant details, role, company website, partnership type and any other information voluntarily provided.
Cookie preference data: the choice made through the consent banner (acceptance or refusal of non-essential cookies), stored on the user’s device.
Optional emails sent to info@olivia-software.com entail collection of the sender’s address and any data contained in the message, as needed to reply.
3. Purposes and legal bases
Handling of requests submitted through Site forms (e.g. demo or partnership) and related follow-up: Article 6(1)(b) GDPR (pre-contractual steps at the data subject’s request).
Sending newsletters and commercial communications about Olivia, events and product updates: Article 6(1)(a) GDPR (consent). Consent is optional, may be withdrawn at any time and does not affect handling of the request.
Technical operation of the Site, security and abuse prevention: Article 6(1)(f) GDPR (legitimate interest).
Aggregated statistical analysis of Site usage via Vercel Analytics: Article 6(1)(a) GDPR (consent via the cookie banner), where required.
Compliance with legal, tax, accounting obligations or requests from competent authorities: Article 6(1)(c) GDPR.
4. Recipients
Data may be disclosed to: authorized Olivia staff; IT and hosting providers (in particular Vercel); form and CRM services (HubSpot) for demo requests; email delivery services (SendGrid) for partnership requests; consultants and providers supporting operational, administrative or communication activities, within the stated purposes; authorities and supervisory bodies where required by law.
Third parties processing data on behalf of the Controller act, where required, as processors under Article 28 GDPR.
5. Place of processing and transfers outside the EEA
Data are processed at the Controller’s premises and at the data centers of the providers used (including Vercel). Some providers (e.g. HubSpot, SendGrid, Vercel) may also process data outside the European Economic Area.
In such cases, transfers are based on European Commission adequacy decisions and/or Standard Contractual Clauses (SCCs) or other safeguards under Articles 44 et seq. GDPR.
6. Processing methods and security measures
Processing is carried out by electronic and telematic means, according to logics related to the stated purposes and in line with the principle of data minimization.
Olivia adopts appropriate technical and organizational measures to reduce the risk of unauthorized access, loss, disclosure or alteration of data. Data transmission on the Site uses HTTPS/SSL.
7. Retention period
Data collected through Site forms are retained for as long as needed to handle the request and the related relationship and, in any case, for a maximum of two years from the last meaningful interaction or from the end of the relationship, unless longer retention is required by law.
Data processed for newsletters are retained until consent is withdrawn or objection is raised, without prejudice to any longer periods required by law.
Technical logs and security data are retained only as long as strictly necessary to protect the Site. Cookie preferences are stored on the user’s device as described in the Cookie Policy.
8. Nature of provision
Providing the data needed to handle requests (e.g. name, surname, email) is required to process the request; without them we cannot contact the data subject.
Consent to the newsletter and to analytics cookies is optional.
9. Data subject rights
Data subjects may exercise the rights under Articles 15–22 GDPR, including access, rectification, erasure, restriction, portability, objection and withdrawal of consent (without affecting the lawfulness of processing based on consent before withdrawal).
Requests may be sent to info@olivia-software.com, to the Controller’s PEC, or to ftansella@olivia-software.com. Olivia reserves the right not to follow up on requests that are manifestly unfounded or excessive, within the limits of the law.
10. Right to lodge a complaint
Anyone who believes that processing infringes the GDPR may lodge a complaint with the Italian Data Protection Authority (www.garanteprivacy.it) or seek judicial remedy before the competent courts.
